Which visas can you arrange for me?

The visas that you will need to participate in the rally of your choice depend on the exact route that you and your fellow team members will decide to take as well as on your passport nationality. We can assist you with getting:

All nationalities can apply. What is more, there is no longer a need to get your visa processed at the consulate, we can now obtain it for you using a simplified and cheaper method. Once issued, your visa will be emailed to you.

The nationals of Australia, Canada, European Union countries including the United Kingdom, Japan, New Zealand, Switzerland and United States, among others, can travel without a visa and stay in the country for up to 90 days within any 180-day period. A full list of countries whose citizens can travel to Georgia visa-free can be found here. Please contact us regarding prices, processing times and necessary documents if you do require this visa.

We are unable to assist High Migration Risk nationals such as African (except South Africa), Arab and Asian passport holders unless you provide your own letter of invitation. All other nationalities can apply.

Under the current visa-free regime effective until 31 December 2017, the nationals of Australia, Belgium, Finland, France, Germany, Hungary, Italy, Japan, Malaysia, Monaco, Netherlands, Norway, Singapore, South Korea, Spain, Switzerland, United Arab Emirates, the United Kingdom and Unites States may stay in Kazakhstan without a visa for up to 15 days during any one visit. If, once crossed the border, you wish to remain in Kazakhstan for more than 15 days, you should apply for visa.

The nationals of Australia, Canada, most European Union countries including the United Kingdom, New Zealand, Switzerland and United States, among others, can travel visa-free and stay in the country for up to 60 days. This visa is currently not required for a stay of up to 30 days for nationals of the United States of America. All the rest will need to get a single entry visa.

Subject to your nationality and residency, as well as your capability of coming to London to provide your biometrics, i.e. fingerprints.

All nationalities can apply. If required, we can also obtain a GBAO (Kuhistoni Badakhshon Autonomous Province) permit which allows applicants to visit Khorugh, Darvoz, Vanj, Rushon, Ishkoshim and Murghob districts.

The nationals of Canada, most European Union countries including the United Kingdom, Japan, New Zealand, Switzerland and United States, among others, can travel visa-free and stay in the country for up to 90 days within any 180-day period. A full list of the countries whose citizens do not need Ukrainian visa can be found here. Please contact us regarding prices, processing times and necessary documents if you do require this visa.

How much will they cost and how long will they take to process?

The consulate processing times refer to the number of working days that it will take for us to obtain your visa once we have submitted your application to the relevant consulate. We will lodge your first visa application the next consular working day after we have received your documents (including the official invitation; where required), verified that they are all in order and took the payment. We will process your passport back-to-back from one Consulate to another based on the weekdays we visit the Consulates:

  • Monday – Russian, Mongolian
  • Tuesday – Russian, Mongolian, Kazakh
  • Wednesday – Russian, Uzbeck, Ukranian
  • Thursday – Russian, Mongolian, Tajik
  • Friday – Russian, Kirgiz

Please note: Working days are Monday to Friday excluding any regular consulates' closures, UK bank holidays and consulates' public holidays.

When calculating the total processing time for obtaining all of your visas you will need to take into consideration the closures referred to above. At least one extra day has to be added between each visa in order to allow us to collect your passport from one consulate and submit it to another. The stated processing times assume that the documents originally received are all complete and correct. Delays may occur in cases where we require additional/alternative/amended paperwork.

It is also worth bearing in mind that the processing times given do not account for the return of your passport. Therefore, you will need to allow a few extra days if your passport is to be returned by mail; delivery times vary considerably depending on which country your passport needs to be returned to.

How will I get my passport back?

Once all your visas have been issued you can either collect your passport from our London office or we can post it to you. The price and the mode of delivery depend on which country you want us to return your passport to and also how quickly you need it returning. For deliveries to UK addresses, we use Royal Mail Special Delivery. As this is an optional service it will cost an additional £8.30 (valid only until the end of March 2015). For countries outside the UK (mainly Europe) where delivery is traceable and signed for, we use either Royal Mail or an international courier; as this is a quicker and safer option. Please contact us for a quote.

Please note: Only one postage fee will apply in case you are getting more than one visa with us or if you are applying as a part of a group and all your passports are to be delivered together to the same address.

How long is the visa valid for?

The Azerbaijan Tourist E-visa is valid from the date of entry indicated on your visa application form for a period of 30 days, during which you may enter and stay for a maximum of 21 days so long as it is within the visa validity. We recommend that you set the date of entry for a few days before you intend to enter Azerbaijan. When confirming the duration of visit, add a couple of days on the top of when you intend to leave (maximum 21 days).

Where the official invitation is not required, the Kazakhstan Tourist Visa is valid from the date requested on your visa application form for a period of 30 (single entry) or 60 (double entry) days, during which you may enter and stay for a maximum of 30 days at a time so long as it is within the validity period of the visa. We recommend that you set the start date of the visa for a few days before you intend to enter Kazakhstan and make the end date 30 or 60 days later, depending on the number of entries requested. For those nationals who require the official invitation, their visa will be valid for the dates requested on their visa support application form, yet still within the maximum possible validity.

The single entry Mongolian tourist visa is valid for entry for ninety days from the time the application is lodged at the Consulate and once you have entered you may stay for up to 30 days. The double entry tourist visa is valid for ninety days from the time the application is made to the Consulate and allows two visits for up to 30 days each.

The Russian Tourist Visa is valid for the exact dates that you request on your visa application form; up to a maximum of 30 days (this applies to both single and double entry visas). We recommend that you set the start date of the visa a few days before you intend to enter Russia and make the end date 30 days later. You may enter and leave at any time between these dates. If you need a double entry visa, you will have to complete both visits within the dates you apply for.

The Tajikistan Tourist Visa is valid for the exact dates as requested on the application form, for a maximum period of 45 days.

Under normal circumstances the Turkmenistan transit visa needs to be applied for in advance and is issued for the exact dates that you requested, usually with the validity period of five days. This would prove inconvenient if your travel plans were to change. To solve this problem we have negotiated a special arrangement with the Turkmenistan authorities in which a transit permit will be issued and once you approach the border you will use this to obtain your visa. This way the visa will give you a full five days to transit through Turkmenistan. We have used this procedure in the past two years and it proved to be safer and more flexible option for teams.

The permit is valid for a maximum period of 90 days from the date it was issued within which you need to obtain your visa. These dates depend on the entry dates that all teams applying for it will confirm on their application. From our experience, the start date of the permit will be set up based on which team will want to enter Turkmenistan first and the expiry date will be based on the entry date of the team that will plan to arrive as last.

The Uzbekistan Tourist Visa is valid for the exact dates as requested on the visa or where required, the visa support application form. Please note that the cost of the visa depends on selected period of validity (up to 7, 15 or 30 days).

When is the best time for me to apply?

Whilst the earliest we can apply for your Uzbekistan visa is 90 days before your confirmed date of entry (unless you order the invitation), all other visas, being date specific, can be applied for at any time, so please send us your documents as soon as you are able to and we will process your Uzbekistan visa last.

In order for you to receive all your visas at the best possible price, please take into account how long will each visa and visa support documents; where required take for us to obtain (depending on the speed of the service that you are happy to pay for) whilst allowing enough wiggle room to account for any consulates’ closures, UK bank holidays as well as other factors which may cause unexpected delays in your visas processing (such as, for example, insufficient/ incorrect paperwork that you originally sent to us, etc.).

Please note: Due to this being the peak period for processing visas, unless you send all your completed and correct applications paperwork to us well ahead of your departure, you may incur higher costs due to a necessity of using the expedited visa processing timescale; additionally we cannot guarantee that you will receive your passport with required visas on time before your set off date. Do you need my passport for the whole time?

In order for us to obtain all visas on your behalf, we will need your passport for the entire processing period as the consulates will affix each visa in it. This does not apply to your Azerbaijan tourist e-visa and Turkmenistan transit visa permit since only a copy of your passport information page is required (among other documents listed further below).

What if I need my passport to travel while you are processing my visas?

If, at any point of the visa application process, you will need your passport back, please let us know as soon as you can and we will work with you to ensure that we can still obtain all your visas on time.

Please note: You will have to pay for your passport return. If we have to use the expediting process, you will also incur higher visa fees and where applicable any extra visa support fees.

What paperwork is required for these visas?

A signed passport that is valid for a minimum of six months after the expiry date of the last visa. The passport must be undamaged and ideally have two blank pages per each visa required. If you do not have the necessary spaces available, contact us and we will advise you on the best course of action.

In addition to the passport, for each visa you will also need to provide a signed copy of a visa application form (links further below), one colour passport photo which is no older than six months, taken against a plain white background and printed on the photographic paper (two forms and two photos are required for a visa to Uzbekistan), and the following documents:

Applying for e-visa is a simpler and far cheaper method of obtaining a visa to Azerbaijan.

All you need to do to order it is to email the following documents to charityrallies@realrussia.co.uk:

1. A clear scanned colour copy of your passport information page

2. A signed scanned copy of an e-visa application form completed in block letters. Please click here to download it

  • For a better guidance, we added the instructions in bold on how to answer some of the questions. Please replace them with your answers while respecting the indicated format
  • Where you need to select an answer, please indicate “X” next to the correct one
  • Question 11 “Type of passport or travel document” – if you are a regular passport holder, please select “Ordinary”
  • Question 14 “Other visas issued during the past 5 years” – as a minimum, you must list those stamped in your current passport
  • Question 19 “When are you going to come to Azerbaijan?” – we recommend that you set the date of entry for a couple of days before you intend to enter Azerbaijan as this will determine the start date of your visa
  • Question 22 “Duration of visit (days)” – add a couple of days on the top of when you intend to leave (21 days max) as this will determine how long you will be allowed to stay in Azerbaijan
  • Questions 29, 30, 31 and 32 – leave as pre-filled
  • Questions 33 and 34 – do not answer these, leave them blank

3. A photograph which complies with the requirements outlined here. This must be sent as a separate file in JPEG format. Do not glue the photo to your application form

This procedure does not require us to submit your original passport to the consulate. Since the visa is ordered online, as opposed to having it stamped into your passport, once issued, we will email it to you as a PDF document. This means that the e-visa can be applied for even shortly before or after you set off. Please click here for an example of such a visa.

  • An original signed cover letter from yourself explaining the purpose of your visit. Please click here to get a template
  • A copy of your car registration certificate. If you do not have one at the time of preparing your visa application, or do not have a vehicle yet at all, please confirm this on the cover letter
  • A copy of your driving licence if you are a driver. If you are a passenger, please provide a copy of the driver’s driving license
  • Travel insurance valid for your entire trip to Kazakhstan. If you wish to obtain a maximum visa validity (i.e. that of 30 days for a single entry visa and 60 days for a double entry visa) we would recommend that you provide insurance valid for the whole term, whilst indicating the same validity period (date-wise) on your online visa application form
  • A hotel booking confirmation; if you have one
  • A photocopy of your last Kazakh visa; if you have one. If the visa was issued in a different passport, then please provide a photocopy of the photo page from that passport as well
  • If you require a double entry visa you will also need to provide a copy of a visa to the country that you will visit in between your two trips to Kazakhstan and thus obtain this visa first. If Real Russia is managing your application, we will proceed accordingly
  • Visa Support Document (official invitation) is not needed for most nationalities such as the citizens of:

    Australia, Austria, Belgium, Brazil, Bulgaria, Canada, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Israel, Italy, Ireland, Iceland, Japan, Latvia, Liechtenstein, Lithuania, Luxemburg, Malaysia, Malta, Monaco, the Netherlands, New Zealand, Norway, Poland, Portugal, Romania, Saudi Arabia, Singapore, Slovakia, Slovenia, South Korea, Spain, the Sultanate of Oman, Sweden, Switzerland, the United Kingdom of Great Britain and Northern Ireland, USA and United Arab Emirates

Those applicants whose nationality is not on the list above (except African, Arab and Asian passport holders as we cannot obtain the invitation for these), please contact us for the associated documents required, processing times and prices.

  • A cover letter from yourself explaining the purpose of your visit. Please click here to get a template
  • Confirmation of inbound and outbound flight or train bookings, these may be a copy of the tickets or the reservations. As you will be traveling to Mongolia by car and, therefore, will not be able to provide confirmation of inbound bookings, please mention it in the cover letter.
  • Confirmation of accommodation in Mongolia for every day of your stay. If you are not able to provide it, please also mention in the cover letter.
  • As of 10 December 2014, all applicants over 12 years of age applying for Russian visas in the UK are required to provide their biometric data at the time of having their visa application submitted for processing at the consulate. We will contact you upon receipt of your documents to confirm a suitable day and time when you are available to visit the Russian Visa Application Centre in London in order to provide your fingerprints
  • Almost all non-UK nationals (except for example, the passport holders of Canada, Czech Republic, Poland, Slovak Republic, Sweden and USA) wishing to apply for their visa in the UK must comply with the UK residency requirement. Click here for more information

    Please note: Unless you comply with the above requirements, you are not entitled to apply for your Russian visa in London

  • The experience from the past few years has shown that it is acceptable to apply for a tourist visa with purpose of visit “tourism” instead of "auto-tourism" (this process requires less documents). Nevertheless the French passport holders and their team mates have to apply for an "auto-tourist" visa. Please contact us for further information
  • If you are self-employed, the owner of a business or unemployed, you have to provide copies of your bank statements covering the last 90 days, whilst they cannot be older than two weeks at the time of submitting your documents to the consulate. Click here for more information

  • For those travelling to the GBAO region, please confirm this on the cover letter as well as on the application form; question 21

When completing the visa application form please indicate the following in:

  • Question 21 “Purpose of visit”: "Auto-tourism, travelling by car as a part of the Mongolia/ Roof of the World Charity Rally" (select as appropriate), GBAO permit required (if applicable)
  • Question 22 “Place of stay”: ”Accommodation to be arranged later/will be camping on the go/your hotel details if you booked any” (select as appropriate)

If you have booked your hotel, please send us your booking confirmation.

Real Russia has made special arrangements with the Turkmenistan Consulate in London allowing a facilitated procedure when applying for your transit visa permit.

This means, however, that all participants transiting through Turkmenistan will have to decide in advance which country they will arrive from as well as which border point they will cross. This is a crucial information as once the transit visa permit has been applied for, and these details passed onto the relevant Turkmenistan authorities, you will not be able to change your mind. Please take this into consideration and plan your trip accordingly.

It takes approximately 15 – 20 working days for the Turkmenistan Ministry of Foreign Affairs in Ashgabat to approve and issue the transit visa permit with a special code. Once obtained, it will be emailed to you by Go Help. Please make sure that you print it off and keep it at a safe place as you will have to present it at the border or at the Turkmenistan Consulate in Baku, Azerbaijan depending on which way you travel.

There are two ways of applying for your transit visa using the permit:

  1. At the border when travelling overland from Iran or Kazakhstan

    In addition to the printed copy of the transit permit, please have two (2) recent passport size photographs with you. The waiting time for your visa can be anything up to a couple of hours. The cost will be approximately $100-$150 (US Dollars)

  2. At the Consulate in Baku, Azerbaijan if travelling to Turkmenistan by ferry

    Please note that the visa has to be obtained before you take the ferry to Turkmenistan. Bear in mind that the consulate is open only on Mondays and Fridays from 9:30am until 12:30pm. In addition to the printed copy of the transit visa permit, bring two (2) recent passport size photographs with you (just in case). It was reported by two of our applicants (not Charity Rallies) who had applied for their transit visa using this permit in Istanbul in 2014, that the cost of the visa there was $85 (US Dollars) per person. However this may be different in Baku. When they arrived at the Consulate, they were first asked to pay at the local bank. They then had to return to the Consulate with their passports, proof of payment, letter of invitation (permit), and one passport photo and completed the visa application form by hand. Once all the paperwork had been completed, they then had to wait to get their visas stamped

  • Please submit one email per team member
  • Name the email “Turkmenistan Transit Visa – Team Name – Name of Team Member“

Please note that you should be allowed to visit other cities too, these routes were selected only for the purpose of getting the transit visa permit. In case you wish to use other route than one of those listed above, please contact us first and we will clarify with the Consulate as to whether it is possible.

  • Attach to your email a clear scanned colour copy of your passport information page (please name the file as “Your Surname-Transit Visa-passport.PDF”). If your passport is currently with Real Russia, please mention this in your email
  • Complete a Consulate questionnaire electronically using an example and instructions which you can download here. Print it off, attach your photograph to designated place and post it at your earliest opportunity to the following address:

  • The deadline for submitting documents listed above (including sending the original questionnaire) is 1 May 2015. Please bear in mind that we will have only one opportunity to apply so if you miss this deadline we will not be able to obtain the transit visa permit for you
  • Copies of all used pages in the passport (with any entry stamp or visa), including the passport information page
  • When filling in the visa application form, please indicate the following as the purpose of your visit: “Auto-tourism, travelling by car as part of the Mongolia/Roof of the World Charity Rally” (select as appropriate)
  • If you require a double entry visa you will also need to provide a copy of a visa to the country that you will visit in between your two trips to Uzbekistan and thus obtain this visa first. If Real Russia is managing your application, we will proceed accordingly
  • Visa support document (official invitation) which we will take care of

An official invitation is not required for nationals of Austria, Belgium, France, Germany, Italy, Japan, Spain, Switzerland, the United Kingdom and United States if they are applying for standard consular visa processing or express consular processing with 6 working days service. The invitation has to be provided by all other nationals or so long as those listed above decide to apply for their visas using express 3 – 4 working days or 1 working day consular processing.

If you order an invitation under express visa support service, you can only apply for express or 1 working day service at the consulate (no standard). If you order an invitation using the standard visa support service, you have a choice among all four consular processing times.

  3. A letter from employer, self-employed applicant or a university letter for students. Click here for the template. A copy of a student card is also acceptable (not ISIC though). Retired applicants and kids do not need to provide this

Once the invitation has been issued, we will be able to apply for your visa provided that we have got all the rest of your documents and your passport has been released from other consulates.

 

Ready to order - what do I do next?

1. Fill in the visa application forms

  • Team's name
  • Fellow team member's name

You will be able to download your completed application form in the “Next Steps” email which will be sent to you automatically once you submit the online form.

When you complete the application, you will be prompted to pay. Since Real Russia will apply discounted service charges, please ignore this request and do not pay online. We will first have to receive your paperwork, adjust the prices and calculate the total amount due to us which would cover the cost of all your visas (including the visa support documents; where applicable) as well as return delivery of your passport.

All visa application forms have to be printed off, signed by the applicant and posted to Real Russia together with the rest of the necessary paperwork.

2. Cover letter outlining the services required

To allow us to deal with your visas more efficiently and effectively as well as to avoid any unnecessary delays, enclose a letter indicating:

  • Charity Rally which you participate in (Mongolia/ Roof of the World Charity Rally)
  • Go Help code
  • Your team’s name
  • Fellow team members' names
  • All visas that you require us to obtain on your behalf along with requested visa validity dates and consular processing times
  • Where you need an official invitation (except Russian visa where this will be provided automatically), indicate which one you need (mostly Kazakhstan and Uzbekistan, some nationalities only) along with requested visa validity dates and visa support processing times
  • Once all your visas have been issued, if you want us to return your passport back by post, please indicate whether you wish us to use Royal Mail or international courier service
  • Confirm the address where you would like us to send your passport. If you want some of your team mates passports returned to the same address, please confirm the same along with their names
  • The date when you need your passport back by at the very latest
  • Confirm who will be paying for your visas. If that is yourself and you will be paying on behalf of your fellow team members as well, please indicate their names

3. Deliver your documents to Real Russia

Please note: The validity of some visas depends on when the visa application pack is submitted to the consulate. To ensure that the team members will be granted the same visa validity, we advise all members of each individual team to:

  • Request the same dates when completing their visa and where required also visa support documents application forms
  • Send their documents at the same time to our London office address:

What will happen after me and my team mates send their paperwork to Real Russia?

Upon receipt of your documents, we will contact you to confirm whether all your paperwork is in order as well as to see when you could come to for your Russian visa biometrics appointment. Referring to the processing times (both for visas and where required for visa support documents) and passport delivery mode that you selected, we will advise you about when approximately the visa application process should all be completed and when you could expect your passport to be returned to you. If it turns out that you need it earlier than around the date we estimate, we will see how we could work it out whilst keeping the costs at the lowest level possible. Please bear in mind though that we may need to, after your consent, upgrade the relevant service levels which implies higher processing fees.

How can I pay for my and my team mates visas?

You can pay for your visas using one of the following options:

  • In cash in our office (applicable to those who wish to bring their documents to us in person)
  • Online using the following link (please note that there is a 2.5% surcharge for credit cards and for all non UK issued cards)
  • Cheque or postal order made out to “Real Russia Limited”
  • Over the phone (please note that there is a 2.5% surcharge for credit cards and for all non UK issued cards)

To allow us to take the payment over the phone:

  • Download a card authorisation form by clicking here
  • Confirm your special Go Help code in the “Payment for the Following Services” section in order to prove your eligibility for our reduced visa services rates
  • In the same section, list the names of all applicants (and their visas) on whose behalf you wish to make the payment
  • Confirm the total price that we will give you, print off the form, sign it and email it to visateam@realrussia.co.uk.

Due to security reasons, we will also require you to email us a scanned copy of the card holder’s passport identification page (unless the payer is the applicant whose passport is in hands of Real Russia) as well as a scanned copy of the front side of the credit/debit card that you wish to use.

Please note: We will not start processing your visas until we have received full payment.
